Cutting Regulatory Review from 6 Hours to 40 Minutes

The Challenge

The regulatory team tracked changes from 43 state licensing boards, with each analyst reviewing around 11 board updates a week through PDFs, emails, and government portals. Translating each change into a course content update took about 5 hours of research, drafting, and resubmission, adding up to roughly 250 analyst hours per quarter. When the company expanded into new states last year, 4 markets lapsed at a cost of about $185K, and closing that gap meant bringing in an AI consulting partner to figure out where tools could take over and where the team's time was better spent.

What We Built

We set up Hexowatch to monitor all 43 state board sites for published changes, routed those alerts into Notion where Claude handled first pass analysis on which courses were affected, and walked the team through the new workflow over 8 training sessions. Within two weeks of training, analysts were processing updates in about 40 minutes each. The full rollout across all 43 states took five weeks from kickoff.

Results

Quarterly analyst hours on compliance documentation went from roughly 250 to around 85. The 4 state approval lapses from last year have not repeated in the two quarters since deployment. All 43 boards are monitored daily now, with changes reaching the right analyst within hours. The consulting engagement covered its cost in about 5 months through recovered revenue and reallocated analyst time worth around $210K on an annual basis.
