Replacing 20-Hour Document Reviews with 15-Second AI Agents

The Challenge

Finance and procurement teams were processing 500+ documents per week, pulling structured data from nested tables, diagrams, and handwritten notes one field at a time. As document volume grew, the team was spending 20+ hours a week on extraction work that left little time for the analysis and decisions that actually move the business forward. With dozens of vendor formats in play and documents running over 100 pages, the complexity had simply outgrown what any manual process could handle efficiently.

What We Built

We deployed a set of AI agents that read, understand, and extract structured data from documents up to 150 pages, including complex tables, charts, and handwriting that break traditional text recognition tools. The agents work together: one extracts fields with confidence scores and links each value back to its exact source location, another compares submissions against configurable checklists and flags gaps with evidence, and a third answers plain language questions about any document with page level citations. Documents that took analysts 30+ minutes to review now return structured, auditable outputs in under 10 seconds.

Results

9 out of 10 hours previously spent on extraction shifted back to analysis and decision making. Extraction accuracy reached 99.1%, giving teams confidence in outputs without needing to manually verify every field. 30,000+ users across finance, healthcare, and insurance now process over one billion documents a year on the platform. The project covered its own cost within the first quarter through recovered review hours and fewer invoice discrepancies reaching downstream systems.
